Common questions
Straight answers from yard owners who've asked the same things.
We already use spreadsheets and it works fine. Why switch?
Spreadsheets work until they don't — and the moment they don't is usually when someone's sick, a part gets double-sold, or you're trying to find an alternator at 7am with three people waiting on you. DerbyDay doesn't replace how your yard thinks. It replaces the parts that cost you time: manual data entry, re-keying eBay listings, guessing bin locations, updating prices on two platforms. Most yards keep running the same way they always have — they just stop doing it twice.
Is it really worth $119–$399 a month?
Put it this way: if DerbyDay saves your team 3 hours a week on intake and listings, that's roughly 12 hours a month. At $15/hour, that's $180 in recovered labor — more than covering the $119 Starter plan. Growth and Pro yards see faster payback because higher volume means more hours lost to manual work. Most yards break even in the first week. The math gets clearer once you run your first intake.
How long does setup take?
Most yards are fully operational within one day. Your first intake takes about 60 seconds. Connecting your eBay account takes 3 minutes. Adding your team takes 5 minutes. There's no data migration required unless you want to import existing inventory — and if you do, we'll help you with that as part of onboarding.
What if my team isn't tech-savvy?
The intake flow was designed to be used on a phone while walking a car — no training required. If you can take a photo and tap a button, you can use DerbyDay. The most technically complex thing your team will do is scan a VIN. Pickers and fulfillment staff never need to log into the inventory system at all — they work from printed pick lists or a simple mobile view.
What if the AI gets parts wrong?
It will occasionally. Every part it identifies goes through a confirmation step before anything is published. You review the list, remove anything that's wrong or unsellable, adjust prices if you want to. Nothing goes live without your approval. The AI is fast — the final call is always yours.
We already sell on eBay manually. What does DerbyDay actually change?
Right now you're probably: logging a part somewhere, writing a listing description, uploading photos, setting a price, posting to eBay, and then doing it again if you also list on Facebook. DerbyDay collapses all of that into one step. You confirm the part in DerbyDay and it posts everywhere. When it sells, inventory updates. When you want to reprice something, you change it in one place and it updates everywhere. The listing work that used to take 10–20 minutes per part takes under a minute.
What happens to our data if we cancel?
Your data is yours. If you cancel, you can export your full inventory, sales history, and vehicle records as a CSV at any time before your account closes. We don't hold your data hostage.
Does it integrate with QuickBooks?
Yes. DerbyDay generates QuickBooks-ready exports so you can close books in an afternoon. Full accounting integration (direct sync) is on the roadmap for Q3 2026. In the meantime, the export flow handles everything your accountant needs.
We're a small yard — 3–5 cars a month. Is this overkill?
The Starter plan at $119/month is built for exactly that size — 3 seats, up to 10 vehicles a month, and 400 parts per month. A yard doing 3–5 cars a month has plenty of headroom. Everything you've added in prior months stays in your inventory — the monthly limits only apply to new AI-powered intakes. The value isn't volume — it's the hours saved per car and the consistency of having everything in one place when tax time comes.
What if my yard is too big for the standard plans?
If your operation exceeds our Pro tier limits, we offer custom packages for multi-location yards. Reach out at hello@derbydayapp.com and we'll scope something that fits your volume.
Do I have to sign a contract?
No contracts, no commitments. Month to month. Cancel anytime from your account settings. We'd rather earn your business every month than lock you in.
