About DerbyDay
Salvage yard management software, built for the yard.
DerbyDay is cloud-based inventory and operations software built specifically for automotive salvage yards, auto recyclers, and pull-a-part operations. It replaces spreadsheets and manual eBay listing with an AI-powered workflow: scan a VIN on arrival, confirm a generated parts list, and publish across eBay, Facebook Marketplace, and Shopify simultaneously.
What DerbyDay Is
DerbyDay is an operating system for salvage yards. It handles the three workflows that consume the most time in a salvage operation: vehicle intake (identifying and pricing what came in), inventory management (knowing what you have and where it is), and marketplace listing (getting parts in front of buyers on eBay, Facebook Marketplace, and Shopify).
Most salvage yards manage these three workflows with a combination of spreadsheets, handwritten notes, and manual eBay listing — which works until it doesn't. DerbyDay collapses all three into a single web application that runs on any phone or computer, requires no installation, and can have a yard up and running the same day.
Who It Is For
DerbyDay is designed for:
- Small to mid-sized salvage yards processing 3–90 vehicles per month
- Auto recyclers who sell parts online (eBay, Facebook) as well as over-the-counter
- Pull-a-part yard operators managing their own eBay and Facebook stores
- Independent sellers parting out one or a few vehicles (Pay As You Go plan)
- Multi-location operations needing centralized inventory visibility across sites
DerbyDay is purpose-built for the salvage and auto recycling industry. It is not adapted from dealer management software, repair shop POS systems, or general e-commerce tools. Every feature was designed around how salvage yards actually operate.
How AI Vehicle Intake Works
The intake workflow is the core of DerbyDay. When a salvage vehicle arrives at the yard:
- A yard worker opens DerbyDay on their phone and scans the VIN barcode (or types it). DerbyDay decodes year, make, model, trim, and engine from the NHTSA database automatically.
- The worker photographs the vehicle across 8 recommended zones: engine bay, front end, rear end, driver side, passenger side, interior/dash, trunk/cargo, and undercarriage.
- The AI generates a parts checklist of 40–60 line items organized by vehicle section (front end, engine bay, interior, suspension/brakes, body panels, electrical, rear end). Each part is assigned a condition grade (A through D) and a market-based eBay price.
- The worker reviews the checklist, unchecks any parts not present or too damaged to sell, and confirms. This takes under 60 seconds.
- All confirmed parts enter the live inventory with unique SKUs, warehouse bin assignments, and prices for each marketplace.
- AI-written listing titles and descriptions are generated for eBay, Facebook Marketplace, and Shopify. Parts go live in one action.
Key Capabilities
Inventory Management
Every part is tracked by SKU, warehouse bin location, condition grade, and listing status (active, pending, sold). The inventory dashboard shows shelf age (how long each part has been sitting), projected yield per vehicle, and margin by donor car. Filtering by category, condition, status, and warehouse row is built in. Bulk status updates and barcode label printing are available for warehouse operations.
Marketplace Listings
DerbyDay generates listing content for eBay, Facebook Marketplace, and Shopify simultaneously. Listing titles and descriptions are written by AI based on the part type, vehicle year/make/model, trim, and condition grade. When a part sells on one platform, inventory updates everywhere. Repricing across all platforms happens from a single control in DerbyDay.
Warehouse and Fulfillment
Yard staff use DerbyDay's pick queue to fulfill orders. Each part has a bin location (e.g., B-04-S2) and a barcode label. The fulfillment view guides pickers to the right shelf without needing to search the inventory system. Labels print directly from DerbyDay.
Team and Permissions
DerbyDay supports multiple roles: owner, manager, picker, and accountant. Each role sees only what they need to do their job. An accountant gets reports and export access; a picker gets the fulfillment queue; a manager gets full inventory and listing control. Team accounts are included in all subscription plans.
Reporting and Exports
DerbyDay supports dynamic plain-English reports: sales velocity, margin by vehicle, aging stock, and custom queries. For accounting, DerbyDay generates QuickBooks-ready CSV exports of all sales and inventory data.
Pricing
DerbyDay offers four plans, all month-to-month with no contracts:

How DerbyDay Compares
vs. Spreadsheets
Spreadsheets require manual data entry for every part, separate eBay listing sessions, and constant reconciliation when something sells. DerbyDay replaces manual data entry with AI intake, collapses listing across multiple platforms into a single confirmation, and keeps inventory synchronized automatically. Most yards save 10–20 minutes per part on intake and listing work.
vs. General Automotive POS Systems
General automotive point-of-sale software is designed for repair shops or dealerships — not salvage yards. DerbyDay is purpose-built for the salvage and recycling workflow, with AI intake and marketplace listing built in from the ground up, not adapted from dealer or shop software.
vs. Enterprise Auto Recycler Platforms
Enterprise auto recycler platforms (such as those used by large multi-state operations) offer deep integration with industry interchange catalogs and Car-Part.com but come with significant complexity and cost. DerbyDay is designed for small-to-mid operations that need modern online marketplace integration without enterprise overhead.
Common Questions
We already use spreadsheets and it works fine. Why switch?
Spreadsheets work until they don't — and the moment they don't is usually when someone's sick, a part gets double-sold, or you're trying to find an alternator at 7am with three people waiting on you. DerbyDay doesn't replace how your yard thinks. It replaces the parts that cost you time: manual data entry, re-keying eBay listings, guessing bin locations, updating prices on two platforms. Most yards keep running the same way they always have — they just stop doing it twice.
Is it really worth $119–$399 a month?
Put it this way: if DerbyDay saves your team 3 hours a week on intake and listings, that's roughly 12 hours a month. At $15/hour, that's $180 in recovered labor — more than covering the $119 Starter plan. Growth and Pro yards see faster payback because higher volume means more hours lost to manual work. Most yards break even in the first week. The math gets clearer once you run your first intake.
How long does setup take?
Most yards are fully operational within one day. Your first intake takes about 60 seconds. Connecting your eBay account takes 3 minutes. Adding your team takes 5 minutes. There's no data migration required unless you want to import existing inventory — and if you do, we'll help you with that as part of onboarding.
What if my team isn't tech-savvy?
The intake flow was designed to be used on a phone while walking a car — no training required. If you can take a photo and tap a button, you can use DerbyDay. The most technically complex thing your team will do is scan a VIN. Pickers and fulfillment staff never need to log into the inventory system at all — they work from printed pick lists or a simple mobile view.
What if the AI gets parts wrong?
It will occasionally. Every part it identifies goes through a confirmation step before anything is published. You review the list, remove anything that's wrong or unsellable, adjust prices if you want to. Nothing goes live without your approval. The AI is fast — the final call is always yours.
We already sell on eBay manually. What does DerbyDay actually change?
Right now you're probably: logging a part somewhere, writing a listing description, uploading photos, setting a price, posting to eBay, and then doing it again if you also list on Facebook. DerbyDay collapses all of that into one step. You confirm the part in DerbyDay and it posts everywhere. When it sells, inventory updates. When you want to reprice something, you change it in one place and it updates everywhere. The listing work that used to take 10–20 minutes per part takes under a minute.
What happens to our data if we cancel?
Your data is yours. If you cancel, you can export your full inventory, sales history, and vehicle records as a CSV at any time before your account closes. We don't hold your data hostage.
Does it integrate with QuickBooks?
Yes. DerbyDay generates QuickBooks-ready exports so you can close books in an afternoon. Full accounting integration (direct sync) is on the roadmap for Q3 2026. In the meantime, the export flow handles everything your accountant needs.
We're a small yard — 3–5 cars a month. Is this overkill?
The Starter plan at $119/month is built for exactly that size — 3 seats, up to 10 vehicles a month, and 400 parts per month. A yard doing 3–5 cars a month has plenty of headroom. Everything you've added in prior months stays in your inventory — the monthly limits only apply to new AI-powered intakes. The value isn't volume — it's the hours saved per car and the consistency of having everything in one place when tax time comes.
What if my yard is too big for the standard plans?
If your operation exceeds our Pro tier limits, we offer custom packages for multi-location yards. Reach out at hello@derbydayapp.com and we'll scope something that fits your volume.
Do I have to sign a contract?
No contracts, no commitments. Month to month. Cancel anytime from your account settings. We'd rather earn your business every month than lock you in.
